Conference Format & Programme
Opening Ceremony

Technical & National Committees Segment
National Reparations Committees, technical experts and representatives of the CARICOM Secretariat will review progress on the Ten-Point Plan, consider the draft outcome document and prepare recommendations for the plenary.
High-Level Segment
Heads of Government, Ministers, members of the Prime Ministerial Sub-Committee on Reparations, the CARICOM Reparations Commission, African Union representatives and invited dignitaries will receive the technical report and deliver statements.

Registration Requirements
Registration is being conducted through the official conference registration channel. Delegations are requested to submit the names and titles of all members of their delegation, together with the required registration information, no later than 28 August 2026.

Entry Requirements, Immigration & Customs
Passport & Visa
- A passport valid for the duration of the stay is required.
- Delegates should confirm airline and transit-country passport validity requirements.
- Nationals of CARICOM Member States do not require a visa to enter Barbados.
- Nationals of several other countries, including the UK, USA, Canada and EU Member States, are visa exempt for short stays.
- Travellers who require a visa must obtain it before travel; the stated processing period is approximately three weeks.
Immigration & Customs Form
- All travellers must complete the online Immigration and Customs Form (ED Form).
- The form opens 72 hours before arrival.
- Save or print the immigration and customs receipts for presentation on arrival.
- Proof of onward or return travel and a local address should be available on request.
Customs
- Travellers may be subject to customs inspection.
- Currency over the equivalent of BDS$20,000 must be declared.
- Commercial merchandise, unaccompanied baggage and restricted items must be declared.
- Barbados applies strict controls on plant and animal material.

Official accommodation options are available for conference delegates. Delegates are encouraged to reserve early, as availability and booking terms are managed directly by the individual properties.
Wyndham Grand Barbados Sam Lord’s Castle
Wyndham Grand Barbados Sam Lord’s Castle is the primary venue for the conference and a designated accommodation property for delegates.

- Scheduled conference transportation will operate as arranged by the Host Committee.

Cancellation Terms
For individual bookings during the summer period, a 30% penalty applies to cancellations made 8 days or less before arrival. No-shows and early departures incur a 100% penalty.

- Group rates available for 3 days before and after the conference.
- Beachfront location, complimentary parking, business centre and ocean-view fitness centre.
Booking & Deposit
Individual bookings require credit-card details and a two-night deposit at the time of booking. Rooms are not held under this option and remain subject to availability. An online booking code can be created if required.
Confirmed occupancy before normal check-in, or use of a room beyond normal check-out, may attract an additional one-night room charge and is subject to availability.

Transportation Arrangements
Airport Arrival
Grantley Adams International Airport (BGI) is the principal point of entry. A conference Help Desk will assist with arrival and departure formalities.
Official Transport
The Government of Barbados will arrange chauffeured vehicles for Heads of State and Government, Ministers and designated dignitaries.
Scheduled shuttle services will operate between designated hotels and the conference venue.
Taxis & Self-Drive
Taxis are identified by the letter “Z” on the registration plate and are not metered, so fares should be agreed before travel.
Visitors using rental vehicles require a valid driving licence and a Barbados visitor’s driving permit. Driving is on the left.

Documents & Interpretation
Conference documents will be distributed in English and made available electronically.
Simultaneous interpretation will be provided in French, Spanish and Dutch.
Statements & Bilateral Meetings
Speaker order will be based on confirmation of participation.
Bilateral meeting rooms will be available subject to prior request through the Conference Secretariat.
Security & Protocol
The Barbados Police Service and Barbados Defence Force will provide conference security. Delegations will be assigned Liaison Officers and protocol assistance will be available at BGI.

Health & Emergency Information
Before Travel
- Routine vaccinations should be up to date.
- A yellow fever certificate is required only for travellers arriving from, or transiting, a country with risk of yellow fever transmission.
- Bring adequate personal medications in original packaging and copies of prescriptions.
- Comprehensive travel health insurance, including overseas coverage and medical evacuation, is recommended.
During Your Stay
- Medical and first-aid services will be available at the conference venue.
- Mosquito-borne illnesses circulate seasonally; insect repellent and protective clothing are advised.
- Tap water is generally considered safe to drink.
- Sun protection and hydration are recommended.
